Terms and Conditions for Local Delegates (French Polynesia)

1. Eligibility

To be eligible to attend the Youth Leadership Summit Tahiti 2026 as a local delegate, applicants must:

  • Be aged between 18 and 40 years;

  • Reside in French Polynesia;

  • Be a current Ordinary Member of the Pacific-Australia Youth Association Inc. (PAYA);

  • Apply through the official application process when local applications open;

  • Receive and accept a formal offer of participation issued by PAYA;

  • Pay the local delegate registration fee of 20,000 XPF by the specified deadline.

2. Participation and Inclusions

The local delegate registration fee of 20,000 XPF includes:

  • Full access to all Summit workshops, sessions, and activities;

  • Participation in the Group Project Challenge;

  • Summit materials and delegate resources;

  • Daily lunches and dinners throughout the Summit;

  • Transport associated with official Summit activities and site visits;

  • Participation in the Moorea excursion;

  • Attendance at the Welcome Reception and Closing Dinner;

  • PAYA Youth Leadership Summit Certificate and micro-credential.

Please note that accommodation is not included for local delegates unless otherwise advised by PAYA.

Transport to and from the designated meeting point in Tahiti remains the responsibility of the delegate unless otherwise specified.

3. Attendance and Code of Conduct

Local delegates are expected to:

  • Attend all official Summit activities from 22–25 November 2026;

  • Participate actively in workshops, discussions, team activities, and project presentations;

  • Treat fellow delegates, volunteers, speakers, and community members with respect and professionalism;

  • Demonstrate cultural sensitivity and uphold PAYA's values throughout the event;

  • Comply with all reasonable instructions provided by PAYA staff, volunteers, and event organisers.

PAYA reserves the right to withdraw a delegate's participation without refund if their behaviour is deemed inappropriate, unsafe, discriminatory, or inconsistent with PAYA policies.

4. Communication and Notification

If a local delegate is unable to attend after accepting their place, they must notify the Summit Director or PAYA as soon as possible.

As places are limited, PAYA may offer the position to another applicant if a delegate withdraws.

Repeated non-attendance at confirmed PAYA programs may affect eligibility for future opportunities.

5. Registration Fees and Refunds

The local delegate registration fee is 20,000 XPF.

Refund requests must be submitted in writing and will be considered on a case-by-case basis.

PAYA reserves the right to retain part or all of the registration fee where costs have already been committed on behalf of the delegate, including catering, transport, venue hire, materials, and activity bookings.

No refunds will be provided for delegates who fail to attend without prior notice.

6. Health, Safety and Medical Information

Delegates must disclose any relevant medical conditions, allergies, dietary requirements, accessibility needs, or other considerations during registration.

PAYA will make reasonable efforts to accommodate individual requirements; however, delegates remain responsible for managing their own health and wellbeing throughout the event.

Delegates must follow all safety instructions provided by organisers during activities, site visits, and transport.

7. Media and Consent

By attending the Summit, delegates grant PAYA permission to use photographs, video recordings, audio recordings, project presentations, and written testimonials captured during the event for promotional, educational, reporting, and fundraising purposes.

This may include use on:

  • PAYA websites;

  • Social media platforms;

  • Reports and publications;

  • Sponsor and stakeholder communications;

  • Marketing materials.

Delegates who do not wish to appear in media content must notify PAYA in writing before the Summit commences.

8. Legal Disclaimer

Delegates participate in the Youth Leadership Summit at their own risk.

PAYA, its volunteers, sponsors, partners, and representatives will not be liable for any personal injury, loss, theft, damage, delay, or expense incurred before, during, or after the Summit, except where required by law.

Delegates are expected to exercise reasonable care, personal responsibility, and good judgement throughout their participation.

9. Acceptance of Terms

By accepting a place at the Youth Leadership Summit Tahiti 2026 and paying the registration fee, delegates acknowledge that they have read, understood, and agreed to these Terms and Conditions.
