Terms and Conditions for International Delegates
1. Eligibility
To be eligible to attend the Youth Leadership Summit Honiara 2025 as an international delegate, applicants must:
Be aged between 18 and 35 years at the time of the Summit;
Be a current Ordinary Member of the Pacific-Australia Youth Association Inc. (PAYA);
Be nominated by a recognised referee through PAYA’s official nomination form;
Submit a completed application form following receipt of the nomination;
Receive and accept a formal offer of participation issued by PAYA.
2. Registration Fee and Inclusions
The registration fee for international delegates is AUD $2,499. This fee includes:
Three (3) nights of twin-share accommodation from Wednesday 26 November to Saturday 29 November 2025;
Daily breakfast, all Summit lunches and dinners;
In-country airport transfers to and from Honiara International Airport;
Private bus transport between official Summit venues and activities;
All official Summit materials, program participation, and cultural events;
A certificate of participation and a micro-credential issued by PAYA’s training partner.
The registration fee must be paid in full by the deadline specified in the acceptance email. Failure to pay the registration fee by the due date may result in the withdrawal of the offer.
3. Travel and Visa Requirements
International delegates are responsible for:
Booking and funding their own return flights to and from Honiara, Solomon Islands;
Securing and paying for valid travel insurance;
Ensuring compliance with any visa or immigration requirements for travel to Solomon Islands;
Covering incidental costs, including but not limited to baggage fees, local SIM cards, transit accommodation, or health-related expenses.
PAYA is not responsible for any travel disruptions, losses, or costs incurred due to visa delays, missed flights, or force majeure events.
4. Participation and Conduct
Delegates are expected to:
Participate fully in all Summit sessions, workshops, group activities, and events;
Behave in a respectful, professional, and culturally sensitive manner at all times;
Abide by the PAYA Code of Conduct, which includes guidelines on inclusivity, non-discrimination, and respectful communication;
Follow all directions provided by PAYA organisers and the local Summit Committee.
PAYA reserves the right to revoke a delegate’s participation for breach of conduct, including behaviour deemed harmful, unsafe, or disruptive.
5. Cancellation and Refund Policy
Registration fees are non-refundable unless the Summit is officially cancelled by PAYA. Delegates who voluntarily withdraw after accepting their place are not eligible for a refund. In special cases such as bereavement, serious illness, or documented visa refusal, PAYA may consider partial refunds at its discretion.
6. Health, Safety and Medical Information
Delegates must disclose any relevant medical conditions, allergies, disabilities, or dietary needs upon acceptance. While PAYA will make reasonable efforts to accommodate these needs, it cannot guarantee that all services or support will be available.
Delegates are responsible for managing their own medication and personal wellbeing during the Summit.
7. Media and Consent
By attending the Summit, delegates grant PAYA permission to record, photograph, and use their image, voice, or contributions for reporting, communications, and promotional purposes. Delegates who do not consent must notify PAYA in writing before the start of the Summit.
8. Legal Disclaimer
PAYA will not be liable for any personal loss, injury, damage, or expense incurred by delegates as a result of participation in the Summit or during transit to and from the event. Delegates participate at their own risk and are advised to purchase appropriate travel and medical insurance.
